Essential Swedish phrases for Skatteverket, Försäkringskassan, Arbetsförmedlingen, forms, IDs, appointments, and official letters.
Official Swedish feels difficult because it is specific
Government paperwork uses words you may not hear in everyday conversation: blankett, handläggare, personnummer, ärende, intyg, beslut. The good news is that many appointments and forms use repeated phrases. Once you learn the core patterns, official Swedish becomes less intimidating.

Asking about documents
Documents are often the hardest part.

Official letters
You may receive letters with words like:

If a letter says Du behöver komplettera din ansökan senast den 15 maj, it means you need to add information to your application no later than May 15.

Prepare this before you go:

Keep a phrase file
Create one note called “Myndigheter” and save phrases you actually use. Review it before every appointment. If you also study at SFI, bring official letters to class when appropriate and ask your teacher to explain key words.
Practice reading official messages
Official letters often look harder than they are because the sentences are formal. Train yourself to find four things first:

Example sentence:
Du behöver komplettera din ansökan senast den 15 maj.
Break it down:
- Du behöver = you need
- komplettera = add information
- din ansökan = your application
- senast den 15 maj = no later than May 15
This method keeps you from translating every word. In official communication, the action and deadline are usually the most important parts. After you find them, you can translate details more calmly or ask for help.
Phone and desk repair phrases
If the conversation moves too fast, use one of these phrases immediately:
